I have a question regarding reporting findings from the community work groups. Is there a template that we will be using to streamline reporting?
The Arc of PA will create and supply a reporting template.
Will individual chapters be reporting to the state? Will Arc of PA gather the data and report?
The Work Groups will report information to The Arc of PA and then The Arc of PA will provide a compilation report to the State Task Force.
Will the state be looking for meeting minutes as reports or do they have a template for what the reports should look like?
The Arc of PA will develop templates and data collection tools for use by the Work Groups, in addition to providing facilitation staff.

Can you expand on what the “listening tours” are?
They can be an in-person or virtual event hosted by the Chapter inviting local community members to talk about the disparities and inequities experienced by those individuals during the COVID-19 response. This may be unique based on the needs of your area. There is a minimum requirement of four (4) events during the project period. The four events are broken down by one for professionals and one for individuals with lived experiences, per year. The focus should be on people that are traditionally disenfranchised based on racial, ethnic, geographic, and cultural backgrounds. Please add any suggestions you may have in your response.
The Arc of PA will be providing facilitating staff to coordinate and attend these events and regional work group meetings.
Are you thinking about one work group per region?
We don’t want to limit the Chapters on the regions that you’re covering. The number of workgroups may depend on the geographic locations you’re covering. There may be multiple workgroups based on the counties you represent.
If there are chapters that are in close geographic areas could we team up to reach our shared regions?
Absolutely! Collaboration among Chapters is very much encouraged.
I feel like their are “gaps” in chapters throughout the state, par- how would we reach the more rural northern tiers of the state?
We suggest you contact those counties around you for coverage and include them to your RFI response. Additional organizations may be asked to help cover any gaps, such as the PCIL’s, PACILC, and Special Olympics.
The Arc of PA will provide the survey and then the chapters are responsible for distribution correct? Any preferred distribution platform that is required or favorable?
That’s correct. The Arc of PA will design any information that you’ll be asked to distribute. We ask that you use all platforms available in your region (website, social media, email) and that includes utilizing your work group members as well.
Will we have standard tools to collect information needed so we are gathering information consistently across PA?
Yes. All tools will be designed by The Arc of PA for uniformity.
A region covers a county?
A region may be a county or multiple counties based on your region.
When is the estimate of the first payment to go out to the chapters from the date of the start of the program?
The project period is 11/1/2021-5/31/2023. A schedule of invoice submission and estimated payment dates will be created and distributed to participating Chapters, in addition to invoicing requirements and checklist. Additional information will follow, as The Arc of PA receives information from The PA Dept. of Health.
Other than payroll what additional items are approved for the chapter budget?
Please follow the provided Budget format. In addition to items listed, administrative staff, accessibility, technology, and translation costs may be included. No indirect costs will be allowed.
Is there a cap to the amount of funds we may request?
The minimum for each chapter is $15,000. At this time, use $50,000 as a cap for your proposal. Funds will be provided based on the scope of work you provide in your RFI and budget submission.
Is there a target number for each workgroup members?
It depends on your community. You know your community best. Member may be added throughout the project period.
What if the Chapter doesn’t have a grant writer or development staff to respond?
This is a non-competitive RFI (Request for Information). Chapters that submit a proposal will be supported as much as possible to accomplish the objectives of the project. The Arc of PA will be reviewing the responses and will reach out to the Chapters with any questions.
